You start an online business, with no prior knowledge of systems, how to set them up or which ones to choose. Trust me, we’ve all been through it (it’s overwhelming and stressful)! Most often, I see business owners relying on their peers and fellow CEO’s for recommendations of where to start. BUT, let me tell you why this isn’t necessarily the best solution for you. Depending on the industry you are in, your offer suite, how you want to run your program, services or course, this can determine and change the systems that are right for YOUR specific business.
We all start somewhere.
Maybe you have 10+ systems you are toggling between on a daily basis.
Maybe you are only running on free versions to “save money”.
Maybe you are investing in the all-in-one system that has everything you need, but you aren’t utilizing all of the features.
Maybe you don’t understand the way your systems integrate with other systems to create automations and seamless processes.
No matter how long you have been running your business, it is essential to incorporate a Systems Audit.
A systems audit, also known as a business process audit or operational audit, is an evaluation of the systems, processes, procedures, and controls within an organization. It involves assessing how well these pieces are functioning and whether they align with the organization’s objectives, policies and needs.
The primary purpose of a systems audit is to identify strengths, weaknesses, and areas for improvement in an organization’s operations. It provides an overview of various aspects of the business, some including:
Examines the effectiveness and efficiency of the processes, automations and workflows in place and determines whether they are effective and find areas that can be fine tuned.
Takes a look at performance measurement trackers, including key performance indicators (KPIs) and metrics, giving the opportunity to see where to improve or the amount of growth taking place.
Evaluates the total amount being spent per year on systems, team members, taxes, subscriptions etc. to understand where income is being allocated and your overhead costs to account for.
As your business grows, an audit helps you identify areas where resources can be optimized or reallocated/shifted, leading to cost savings and improved productivity.
Overall, a systems audit helps businesses identify areas to enhance operational effectiveness and make informed decisions to drive continuous improvement. It provides insight into the business’ strengths and weaknesses, supporting the mission to meet its goals. Regardless if you’re brand new and just beginning, or you’ve been in the game for 5-10 years, performing system audits periodically is integral to your success. At the end of the day, no one likes to waste time, money or resources on things they don’t need to!
Business needs change as you grow and it’s important that your back end reflects and supports the end goal. If you’re not sure how to do this on your own, or you don’t have a team member to perform this for you, find someone who is skilled in operations and systems that can provide you with action steps on how to improve.
